At Devon Transcription we take security and confidentiality very seriously. We are classified under GDPR as a data processor committed to protecting the privacy of our clients and users of our website, and to fulfilling recent GDPR requirements. Our company ensures that any information submitted to us, or which we collect, via various channels (including our website or via e-mail) is solely used for the purposes of providing our primary services. Whilst we have always complied rigorously with the Data Protection Act, we have taken every step to ensure that we are compliant with new legislation, as well as maintaining strict confidentiality measures as standardised by English law and covered by the Official Secrets Act.
Security/Privacy
File Transfer Server
We provide a highly secure, encrypted file transfer system for security and confidentiality. As stated above, all data transmissions are protected using TLS encryption. This ensures your data is never exposed during transport; however, in the unlikely event of data being intercepted during transport, TLS encryption ensures your data is unreadable. Our system also employs the Backblaze server-side encryption (SSE) technology with the AES-256, a 256-bit Advanced Encryption Standard. In simple terms, SSE adds an extra layer of security to the data, making it highly challenging for unauthorized individuals to utilise any unlawfully acquired information. Without the encryption key, it becomes impossible for attackers to preview or access the improperly obtained data.
Once files are safely received and downloaded, they are distributed to transcriptionists using the same transfer system and are always password protected so that only the transcriptionists can access the files. Transcripts are returned to clients via our secure FTP server, never via email.

- Transcriptionists are thoroughly vetted and required to sign confidentiality agreements prior to undertaking work with Devon Transcription.
- Transcriptionists are UK based.
- Transcriptionists can only access audio files using personal passwords.
- Data transmissions are protected using military grade 128-bit Transport Layer Security (TLS) encryption
- For additional security, our transfer server uses the Backblaze server-side encryption (SSE) technology with the 256-bit Advanced Encryption Standard.
- Our platform meets the 14 Cloud Security Principles set out by the National Cyber Security Centre.
- Uploaded audio files can be password protected, offering a double layer of protection.
- We do not collect contact information for marketing purposes.
- We are always happy to review and sign your own confidentiality agreements where requested.

Storage & Retention:
- Desktops and laptops are individually password protected and extensive virus software and firewalls are in place.
- Audio files are deleted from our computer systems within two weeks of transcription; however, customers can request access or deletion of data, transcripts and media at any time.
- Customers will be able to access and download their transcripts from our secure server within seven days of completion. After this time, links will expire and files will be automatically deleted from our server.
